Email Digests
Email digests are scheduled batch summaries of Topkey activity delivered to your inbox on a schedule you control. Unlike real-time notifications, which alert you to individual events as they happen, digests bundle relevant activity into a single email sent at a set frequency — giving you a convenient way to stay on top of routine activity without inbox overload.
Each user manages their own digest preferences independently. Enabling or disabling a digest type, or changing its frequency, affects only your account.
Getting to Your Email Digest Settings
- Click your profile or account settings menu in Topkey.
- Select Email Digests, or navigate directly to
/user/email_digests/edit.

Available Digest Types
You can subscribe to one or more digest types, each covering a different area of Topkey activity. Enable only the digests that are relevant to your role and workflow:
- Transaction summaries — A summary of card transaction activity across your account.
- Incomplete transactions — A roundup of transactions that are missing receipts, notes, or other required information.
- Bill pay activity — A summary of bill pay activity, including pending approvals and upcoming due dates.
- Approval queue — A summary of items currently awaiting your approval, including bills and transactions that require a decision.
The digest types available to you may vary depending on your role and the features enabled on your account.
Choosing a Frequency
For each digest type you enable, you can choose how often it is delivered. Available frequency options include:
- Daily — Receive a summary every day at your selected delivery time.
- Weekly — Receive a summary once per week.
The delivery time shown in your preferences reflects your configured time zone. If you have not set a time zone on your profile, Topkey defaults to Eastern Time (US & Canada).
To update the time zone used for digest delivery, edit the time zone setting on your user profile.
Updating Your Digest Preferences
- Navigate to your Email Digests settings page.
- For each digest type you want to receive, enable the toggle next to that digest.
- Use the frequency option next to each enabled digest to choose Daily or Weekly.
- Select your preferred delivery hour from the available options.
- Click Save to apply your changes.
Your updated preferences take effect starting with the next scheduled send — changes will not trigger an immediate delivery.
Disabling a digest type removes your subscription immediately. If you re-enable it later, you will begin receiving that digest again at the next scheduled interval.
Tips for Using Email Digests Effectively
Use real-time notification routes for urgent or time-sensitive events, and use digests for routine summaries you want to review at a set cadence. The two systems are independent and complement each other.
If you approve bills or transactions, consider enabling a daily Approval Queue digest so you have a consistent reminder of items waiting on you — without needing a separate notification for every individual item.
Account admins who oversee bill payments may find a daily Bill Pay Activity digest useful for tracking pending approvals and upcoming due dates at a glance.
Frequently Asked Questions
Do my digest settings affect other users on my account? No. Email digest preferences are per-user. Each person on your team configures their own digest subscriptions independently. An admin cannot enroll other users in digests on their behalf.
What is the difference between email digests and notification routes? Notification routes send real-time alerts when specific events occur — for example, when a transaction is submitted or a bill is approved. Email digests are separate and batch activity into a single scheduled email. You can use both systems at the same time; enabling a digest does not disable your real-time notifications, and vice versa.
Why does my digest show the wrong time zone? The delivery time displayed on your digest settings page is based on the time zone set on your user profile. If no time zone has been configured, Topkey falls back to Eastern Time (US & Canada). To correct this, update the time zone on your profile and then return to your digest settings to confirm the displayed time reflects your preference.
