Email Digests
Email Digests are scheduled batch summaries delivered to your inbox on a schedule you control. Unlike real-time notifications — which alert you the moment an event occurs — digests collect activity into a single email sent at a time you choose, giving you a routine, at-a-glance overview without interrupting your workflow. Each user manages their own digest preferences independently.
Getting to Your Email Digest Settings
- Click your profile or account menu in Topkey.
- Select Email Digests, or navigate directly to
/user/email_digests/edit.

Available Digest Types
Each digest type covers a different area of Topkey activity. You can enable or disable each one independently:
- Transaction Summaries — a periodic overview of card transaction activity across your properties.
- Bill Pay Activity — a summary of bill pay events, including pending approvals and upcoming due dates.
- Incomplete Transactions — a roundup of transactions that are missing receipts, notes, or other required information.
- Approval Queue — a summary of items waiting for your review or approval, so you can act on them in a single session rather than responding to individual notifications throughout the day.
The digest types available to you may vary depending on your role and the features enabled on your account.
Choosing Your Frequency and Delivery Time
For each digest type you enable, you can configure:
- Frequency — how often the digest is sent (for example, daily or weekly).
- Delivery hour — the time of day you want to receive the email.
Topkey uses your configured time zone to schedule delivery. If you have not set a time zone in your profile, delivery times default to Eastern Time (US & Canada).
To update your time zone, go to your profile settings. Setting an accurate time zone ensures your digests arrive when you expect them.
Updating Your Preferences
- For each digest type, toggle it on or off using the switch next to its name.
- For any digest you enable, select your preferred frequency and delivery hour.
- Click Save (or the equivalent save action on the page) to apply your changes.
Your updated preferences take effect for the next scheduled send — changes will not trigger a retroactive digest.
Disabling a digest type removes your subscription to it entirely. If you re-enable it later, you will only receive summaries going forward from that point.
Tips for Getting the Most Out of Digests
Use real-time notifications for urgent, time-sensitive events (such as a flagged transaction) and digests for routine activity you review on a schedule. The two systems complement each other well.
If you manage bill approvals, a daily Bill Pay digest is a convenient way to monitor pending approvals and upcoming due dates without having to check Topkey manually each day. You can opt into digest emails in place of per-transaction email notifications for approval queues.
Frequently Asked Questions
Are Email Digests the same as Notification Routes? No. Notification Routes send real-time alerts the moment a specific event occurs. Email Digests batch activity into a single scheduled email. They are two separate systems, and you can use both at the same time.
Can my account admin change my digest preferences for me? No. Email Digest preferences are personal settings that each user manages for themselves. Your admin cannot configure digests on your behalf, though they may recommend which digests are useful for your role.
What happens if I have no activity to report during a digest period? If there is no relevant activity during a scheduled digest period, Topkey will typically skip sending that email rather than sending an empty summary.
