Owner Bulk Actions
Owner bulk actions let you make changes across many owner records simultaneously, saving you from editing each owner one by one. Use these tools when rolling out pricing changes, onboarding a group of new owners, or cleaning up your owners list.
Selecting Owners
Before you can apply any bulk action, you need to select the owners you want to update.
- Go to Owners in the left navigation.
- Check the checkbox next to each owner you want to include. To select all owners on the current page, check the checkbox in the column header row.
- Once at least one owner is selected, the bulk actions toolbar appears above the table.
Bulk Action: Set Inventory Pricing
Use this action to apply a pricing tier to all selected owners at once. This is the most efficient way to roll out pricing changes across your portfolio.
- Select the owners you want to update.
- In the bulk actions toolbar, select Set Inventory Pricing.
- Choose one of the available pricing tiers:
- Cost (No Markup) — owners are billed at cost with no markup applied.
- Markup — a markup is applied to owner-facing costs.
- Topkey immediately updates all selected owners and confirms how many were changed.
Use Set Inventory Pricing when rolling out a markup policy change company-wide. Selecting all owners and applying the new tier in a single action is much faster than updating each owner's record individually.
Bulk Action: Delete
Deleting owners from the bulk actions toolbar archives the selected records — it does not permanently remove them. Archived owners retain their full history and can be restored at any time.
- Select the owners you want to archive.
- In the bulk actions toolbar, select Delete.
- Confirm the action when prompted.
- Topkey queues a bulk delete operation and displays a link so you can monitor progress.
Deleting an owner hides them from the active owners list, but their historical data (statements, payments, banking details) is preserved. If you deleted an owner by mistake, you can restore them — see Restoring a Deleted Owner below.
Bulk Action: More
Selecting More opens the bulk operations modal, which provides additional actions for your selected owners.
Collect ACH Info
Sends a secure link to the preferred contact of each selected owner, allowing them to submit their own ACH banking details directly.
- Select the owners whose banking information you need to collect.
- In the bulk actions toolbar, select More.
- In the modal, choose Collect ACH Info and confirm.
- Each selected owner's preferred contact receives the secure ACH link.
Collect ACH Info is especially useful when onboarding many new owners at once. Rather than manually entering banking details for each owner, send the secure link in bulk and let owners submit their own information.
For each owner, the secure link is sent to the starred contact with the earliest record. If an owner has no starred contacts, all contacts for that owner receive the link. To adjust which contacts receive communications, update the owner's contact preferences before running this action.
Combine Payments
Toggles combined payments for multiple owners at once, allowing their payouts to be grouped together when paying out.
- Select the owners you want to configure.
- In the bulk actions toolbar, select More.
- In the modal, choose Combine Payments and set the toggle to the desired state.
- Confirm to apply the change to all selected owners.
Batch Edit Banking Details
Batch Edit is a dedicated page for updating ACH banking details — account type, beneficiary name, routing number, and account number — across many owners in a single pass. It is separate from the checkbox-based bulk actions and is accessible directly from the owners list header.

Opening Batch Edit
- Go to Owners in the left navigation.
- Select Batch Edit from the page header. This opens the Batch Edit Property Owners page.
Editing Banking Details
The Batch Edit page shows all your owners in a table with the following editable columns:
- Beneficiary Name — the name on the bank account
- Account Type — checking or savings
- Routing Number — the bank's routing number
- Account Number — the owner's bank account number
To update an owner's details:
- Locate the owner's row in the table.
- Edit any fields you need to change. Fields showing masked values (for example,
*****0021) indicate that existing banking details are already on file. - If you leave a masked value unchanged, Topkey automatically preserves the existing data — you do not need to re-enter the full number.
- When you have finished making changes, select Save All Changes.
All updates are saved in a single transaction, so either every change succeeds or none are applied. This prevents partial updates from leaving owner records in an inconsistent state.
If any row contains invalid data, Topkey will display an error message and no changes will be saved. Correct the highlighted fields and select Save All Changes again.
You do not need to re-type masked routing or account numbers. If you are only updating the beneficiary name or account type for an owner, leave the masked number fields as they are and Topkey will keep the existing values on file.
Restoring a Deleted Owner
Because bulk deletion archives rather than permanently removes owners, you can restore any deleted record.
- Go to Owners in the left navigation.
- Open the actions menu (the icon in the top-right area of the owners list header) and select Show Archived Owners.
- Locate the owner you want to restore.
- Open the owner's record and restore them from the archived view.
All historical data — payments, statements, banking details, and property relationships — is preserved and will be available again once the owner is restored.
Exporting the Owners List
You can export your full owners list to a CSV file at any time.
- Go to Owners in the left navigation.
- Open the actions menu in the page header.
- Select Export CSV.
Topkey generates the file and downloads it to your computer. By default, sensitive payment and banking details are masked in the export.
An option to export unmasked banking details is available as an edge-case capability for accounts with specific compliance needs. This option is not enabled by default and must be turned on by the Topkey Customer Success team. Contact Support@topkey.io if you believe your account requires it.
Frequently Asked Questions
Can I undo a bulk delete if I archived owners by mistake? Yes. Archived owners are never permanently deleted. Use Show Archived Owners from the owners list actions menu to find and restore any archived record. All history is retained.
What happens if one owner in a Batch Edit has invalid banking details? The entire batch is rolled back — no changes are saved for any owner until all rows pass validation. Topkey will highlight the rows with errors so you can correct them before saving again.
When I use Collect ACH Info in bulk, which contact receives the secure link for each owner? The link is sent to the preferred (starred) contact with the earliest record for that owner. If an owner has no starred contacts, all of their contacts receive the link. You can adjust an owner's contact preferences from their individual record before running the bulk action.
