Inventory Overview
The Inventory Overview dashboard gives you an at-a-glance snapshot of your entire inventory operation — from total stock levels and item values to recent checkouts and items that need reordering. Use this page as your daily starting point for staying on top of supply needs across your properties.

Metric Cards
At the top of the dashboard, five metric cards summarize the current state of your inventory. Each card is clickable and takes you directly to the relevant section for more detail.
- Catalog Items — The total number of active SKUs in your inventory catalog. Click this card to go to the Stock Levels page.
- Warehouse Stock — The total number of units currently on hand across all your warehouse locations. The description shows how many locations are included.
- Low Stock Alerts — The number of SKUs whose current stock is at or below their reorder point. If all items are sufficiently stocked, this card shows "all items stocked." Click to view only the low-stock items on the Stock Levels page.
- Checkouts This Month — The number of checkout transactions completed so far this month, along with the total number of individual items checked out. Click to go to the Checkouts page.
- Total Inventory Value — The combined value of all units currently in your warehouses, calculated using each item's unit cost.
The Total Inventory Value card is only visible to users with pricing permissions in your account.
Recent Checkouts
The Recent Checkouts table displays the last 10 checkout transactions recorded in your account. Each row shows:
- Date — The date and time the checkout was completed
- User — The team member who performed the checkout
- From — The warehouse location the items were pulled from
- To — The property the items were delivered to
- Items — The total number of items included in the checkout
- Total — The dollar value of the checkout (visible to users with pricing permissions)
Click any row to open the full checkout details. To see your complete checkout history, click View All in the top-right corner of the section.
Low Stock Alerts
If any items in your catalog have fallen at or below their reorder point, they appear in the Low Stock Alerts section below the Recent Checkouts table. This section shows:
- Item — The item name and SKU
- Category — The category the item belongs to
- Current — The number of units currently on hand (shown in red when below the reorder point)
- Par — The ideal stock level for this item
- Reorder Pt — The quantity at which you should place a new order
- Need — How many units you need to order to return to par level
Click View next to any item to go directly to that item's stock level details.
Use the Low Stock Alerts section as your daily reorder checklist. Items listed here have fallen to or below their reorder point, meaning it's time to place a replenishment order or receive new stock.
Items only appear in Low Stock Alerts if a reorder point has been set on the catalog item. If an item is running low but doesn't appear here, check whether a reorder point has been configured for that SKU.
Navigating Inventory Sections
Use the sidebar to move between the different areas of inventory management:
- Inventory (Overview) — This dashboard
- Stock Levels — View and manage stock quantities for all catalog items
- Checkouts — Browse and create checkout transactions to send items to properties
- Receiving — Record incoming stock from suppliers or transfers
- Templates — Manage checkout templates for common supply bundles
- Locations — Set up and manage your warehouse locations
- Charges Report — Review inventory costs charged against properties
Frequently Asked Questions
Why don't I see a Total Inventory Value card on my dashboard? The Total Inventory Value card is only shown to users who have pricing permissions in your Topkey account. If you need access, contact your account administrator.
An item is clearly low on stock but doesn't appear in Low Stock Alerts — why? Low Stock Alerts only trigger for items that have a reorder point configured. If no reorder point is set on a catalog item, Topkey has no threshold to compare against. Navigate to the item in Stock Levels and add a reorder point so it will appear in future alerts.
How far back does the Recent Checkouts table go? The table shows the 10 most recent checkouts, regardless of date. To view your full checkout history, click View All to go to the Checkouts page.
