Managing Cards and Credit Accounts

This comprehensive guide covers everything you need to know about managing and using cards in Topkey, including American Express, Ramp, and other external cards.

Types of Cards Supported

Topkey offers multiple card options to meet different needs.

Assigning Cards

Each card can be assigned to:

  • A person (e.g. maintenance staff, bookkeeper)
  • A property (for reporting)
  • A spending policy (limit controls and alerts)

Tip: Use clear naming like “Housekeeping – Beachside #4” to identify card usage in reports.


Setting Limits and Controls

The ability to set limits and manage cards depends on the card type.

🔸 American Express Cards

  • Monthly limit: Set a maximum spending amount per calendar month
  • Create Virtual Cards: Generate a virtual card directly in Topkey that earns against your existing AMEX program

🔘 External Cards

  • Connect any program: Connect your Visa/MasterCard program into Topkey
  • Maintain unique program settings: Edit nick names, property permissions, and who is assigned to receive text messages when transactions occur

Monitoring Card Usage

From the Cards dashboard, you can:

  • View current usage
  • Pause or terminate cards
  • See recent transaction activity per card
  • Access receipts and categorization
  • Flag unusual activity

Note: Pausing a card immediately blocks new transactions but preserves past data.


Managing Receipts

Match receipts manually via SMS text or automatically through the Receipts Inbox.

Checklist:

  • Team members upload receipts via mobile or desktop
  • Receipts are matched by date, amount, and merchant
  • Transactions missing receipts are flagged
